The Assistant Artistic Administrator supports the day-to-day artistic operations of The Atlanta Opera with primary responsibility for chorus and orchestra administration, as well as contracts, finance, and visa administration for assigned artistic personnel. This position serves as a key liaison between Artistic and Finance and helps ensure the timely and accurate execution of contracts, payments, union obligations, and administrative processes related to productions, music staff, and artistic personnel.

KEY RESPONSIBILITIES
Your responsibilities include, but are not limited to, the following exciting challenges and additional duties as assigned:
Chorus and Orchestra Administration
Oversee chorus and orchestra administration in collaboration with the Director of Artistic Administration, Chorus Personnel Manager, and Orchestra Personnel Manager
Coordinate hiring approval processes for chorus and orchestra personnel in conjunction with Director of Artistic Administration
Monitor AFM deadlines and related contractual requirements, including orchestra contracting deadlines and other union obligations
Work with HR to onboard orchestra personnel and other assigned artists for payroll and employment processing
Contracts and Financial Administration
Prepare, issue, track, and maintain contracts for chorus, orchestra, supers, dancers, choreographers, fight coordinators, intimacy coordinators, related music staff, etc.
Track all contract statuses and maintain accurate contract files and internal tracking system
Manage payment tracking and financial administration for assigned artistic personnel and projects
Process or coordinate payment requests, invoices, dues, pension, and film/media-related financial obligations for assigned groups
Serve as a primary liaison between Artistic and Finance for contract, payment, tax, and budget matters
Assist the Director of Artistic Administration with overall department financial understanding, reporting, and forecasting
Research historical fee and cost data to support budget planning and future forecasting
Visa and Media Administration
Manage and assemble visa petitions and related documentation for guest artists as assigned
Coordinate with the Artistic Administration Manager on gathering visa support materials and documentation
Support film/media administration for assigned projects, including deadlines and documentation, in coordination with Artistic leadership
Departmental Support
Provide light casting support, including tracking artist information and assisting with administrative materials as needed
Collaborate with Production, Stage Management, Music Staff, Development, Marketing, and Finance on artistic administration needs related to productions and events
Attend meetings, rehearsals, and performances as needed
Other duties, as assigned
Qualifications:
Bachelor’s degree in arts administration, music, stage management or related field preferred.
At least four years of experience in arts administration, opera, theater, or a related performing arts environment preferred
Excellent written and oral communication and problem-solving skills.
Strong organizational skills and attention to detail.
Ability to meet deadlines and manage multiple projects simultaneously and efficiently.
Knowledge of contracts, budgets, financial tracking, and administrative systems
Ability to handle confidential and sensitive information with discretion
Strong problem-solving skills and ability to anticipate administrative needs
Comfort working with deadlines tied to union obligations, contracts, payroll, and visa processes
Proficiency in Microsoft Office software required.
Knowledge of opera, classical music, and performing arts administration preferred
Knowledge of AFM rules and related union practices preferred
Experience with visa administration or immigration support for guest artists preferred
Ability to work collaboratively across departments and with a wide range of artistic personnel
Work evening and weekend obligations during the opera season.
Ability to sit at a desk for up to and over eight hours per day.
Ability to communicate using a phone and headset.
Must be able to lift up to 25 pounds.
Must perform the functions of the position in a safe manner
